Weekly Meeting Update

Review client performance and meeting rows, use the last seven completed days by default, write What happened this week and Challenges, change live statuses, edit client-ready sections, capture internal notes, and share a view-only report with clients.

Overview

Weekly Meeting Update is the client-ready meeting workspace for a selected Deal. Staff use it to review a refreshable performance snapshot, edit meeting notes and tables, manage custom sections, set the next meeting, keep source-document history, archive prior updates, and export a Google Doc. Booked meetings sync source-backed Platform contact rows within the saved date range. Meetings to review separately syncs contacts booked before the selected period that remain in Meeting Set or Meeting Rescheduled status, excluding the current Booked rows. Live rows keep their status and source details synchronized, while manual rows remain separate and editable. Authorized staff can change a Live status directly in normal read mode or Edit update; client views, completed snapshots, and manual rows remain read-only. Each source-backed and manual meeting row includes a Meeting owner field. Edit update offers Last 7 Days, Last 14 days, Quarter to date, Year to date, Outreach to date when a launch date exists, and Custom range. Calendar ranges use Eastern Time and are persisted with the update. Uploaded source documents remain attached with their filename, upload time, and extraction status, while extracted text and prior snapshots stay in historical context independently of the selected live date range. Internal only Client sync notes autosave separately and stay out of the client-ready view and Google Doc export. Staff can also set each report section to Hide from client view or Show in client view. That setting leaves the section available internally, but controls the client read-only report, completed snapshots, and Google Doc exports after saving. Clients can open the selected Deal's client-ready report in view-only mode; staff editing, refresh, export, and internal-note controls stay hidden.

How to use this page

  1. Select the client

    Choose a client from the Client Switcher. The workspace loads the selected deal's Weekly Meeting Update. If no client is selected, the page asks you to choose one before opening the editor.

  2. Review the performance snapshot

    The snapshot shows Outbound dials, Conversations, Meetings booked, Meetings held, Potential meetings, and Emails sent. Each value is marked Auto-updated unless you have entered a manual override. The header shows the last refresh time and the saved date-range label.

  3. Choose and save the date range

    In Edit update, use Date range to choose Last 7 Days, which covers the seven completed calendar days before today and excludes the current day, Last 14 days, Quarter to date, Year to date, Outreach to date when the client has a launch date, or Custom range. Custom range shows From and To date inputs. Both dates are required, use Eastern Time calendar days, cannot end in the future, and must be in chronological order. Save update to persist the selection and recalculate the snapshot for that range.

  4. Arrange the client-ready sections

    While editing, use the Client-ready layout Section order editor to arrange the reorderable client-ready sections. Drag a section by its handle, or use its up and down arrow buttons. Hidden sections keep their saved position. Each section header also has Hide from client view or Show in client view. Hiding a section leaves it visible to staff and in Edit update, but removes it from the client read-only report, completed report previews using that saved setting, and Google Doc exports after you save. The saved order applies to the live report, completed report snapshots, and Google Doc exports; Internal only Client sync notes and editing guidance stay outside this list.

  5. Control section visibility for clients

    In Edit update, use a section header's Hide from client view button to keep that section internal. The control changes to Show in client view, and the staff report remains visible while you edit. Save update to apply the setting to the client-ready report, future completed report snapshots, and Google Doc exports. Existing frozen reports keep the visibility captured when they were completed.

  6. Override a metric when needed

    Type a non-negative value into any metric field to use a meeting-specific manual override. The field changes to Manual override. Click reset beside it to return to the latest platform value, then save the update to keep the override.

  7. Refresh data

    The page refreshes metrics automatically when it opens within six hours of the next client meeting. Booked meetings sync from Platform contacts within the saved date range, while Meetings to review syncs older Meeting Set or Meeting Rescheduled contacts booked before that period. Click Refresh data to force the performance snapshot and both live source-table syncs. Refresh reloads the saved update and saved range, so save unsaved narrative, table, note, manual-override, or date-range edits first.

  8. Write the meeting narrative

    Fill in What happened this week, Wins, Challenges, Action items, and Other updates and highlights. These text areas are the editable narrative portion of the update. Use the separate Internal only Client sync notes field for working notes during the sync. It autosaves after a short pause and is excluded from the client-ready view and Google Doc export.

  9. Maintain the meeting tables

    Use Booked meetings, Meetings to review, and Potential meetings for structured meeting or prospect notes. Booked meetings includes source-backed Live rows from Platform contacts booked within the selected date range. Meetings to review includes source-backed Live rows booked before the selected period whose status is Meeting Set or Meeting Rescheduled, excluding contacts in the current Booked range. Live rows keep source fields synchronized, allow notes to be edited, and cannot be removed. Click Add row to create a manual row; manual rows remain editable and removable. Save the update after changing manual rows or notes. Both read-only tables include a Meeting owner column. In Edit update, source-backed owner values are synchronized and read-only, while manual rows have an editable Meeting owner field. Export to Google Doc includes the column.

  10. Track meeting owners

    Use the Meeting owner column to see who owns each source-backed meeting. Source rows show the synchronized owner and keep that field read-only in Edit update. Manual rows can be given or corrected an owner before you save. Archived source-history details include the owner when one is available.

  11. Update a live source-row status

    For an authorized staff view, use the Live status selector on a source-backed row in Booked meetings or Meetings to review, either directly in normal read mode or in Edit update. Choose an available meeting status to update the underlying Platform contact immediately; the saved status label then appears in the table. Client views, completed report snapshots, and manual rows do not expose this live selector. Other source fields are read-only, notes remain editable, and live rows cannot be removed.

  12. Add custom sections

    Click Add section under Custom sections for client-specific context. Give the section a title and body, and use its trash button to remove it. Custom sections are saved with the update.

  13. Set the next client meeting

    Use the Next client meeting date and time field in Meeting timing. The stored value is shown below the field and helps determine when automatic metric refresh should occur.

  14. Review saved history

    In Source history, click Open history to review saved text. Newer saved snapshots and extracted source text stay together in newest-first order, while earlier history remains below. Changing the selected live metric/date range does not trim this history. During a live-row sync, a Booked row that ages past seven days can move into Meetings to review if it remains Meeting Set or Meeting Rescheduled. A source row that leaves both active windows is removed, and its notes are prepended to Source history once. Completed report versions are also listed in Source history; use their version entry to jump to the frozen report list.

  15. Keep source documents with the update

    While editing, click Upload source and choose a .doc, .docx, .pdf, .txt, .csv, or .xlsx file. The original file stays attached, and extracted text is prepended to Source history. When history is open, the uploaded source documents list shows each filename, its upload date and time, its extraction status, and a Download original link. Uploaded history remains available when you change the selected live date range.

  16. Save or export the update

    Click Save update to persist the narrative, metric window and overrides, meeting rows, custom sections, and next meeting time. A qualifying save also prepends the prior snapshot to Source history. Click Export to Google Doc to create the current update as a Google Doc and open it in a new tab. The document includes the update metrics, written sections, retained source-history text, and uploaded source-document metadata. Each completed report row also has its own Export button for that frozen version. These save and export controls are staff-only; clients receive the view-only report.

  17. Complete and revisit a report

    When the update is ready for client review, click Report complete in read mode. SalesHive freezes the current title, date range, metrics snapshot, narrative, tables, charts, section settings, meeting timing, and completed-by details as a dated report version, then adds it to Completed reports and Source history. If the exact current version is already complete, the page reports that instead of creating a duplicate. Click a version row to open its frozen preview, or click its Export button to create a Google Doc for that saved version.

  18. Capture internal client sync notes

    Type working notes in Client sync notes in the dedicated right-hand rail. The field saves automatically after you pause, shows Saving, Saved automatically, or Save failed, and retries when you edit after an error. These notes are internal only and are excluded from the client-ready view and Google Doc export. On wide layouts, the rail stays separate from the report and meeting-timing column while you scroll. At narrower desktop widths it remains on the right while details stack below the report; on small screens it returns to normal page flow.

  19. View a client-ready update as a client

    Clients see the selected Deal's client-ready sections in a view-only layout. The header is marked view only, staff refresh and editing controls are hidden, the internal Client sync notes rail is not shown, sections marked Hidden from client view are omitted, and completed reports can be opened without the staff export action.

What the buttons do

Client Switcher
Selects the client deal whose internal Weekly Meeting Update you are editing.
Refresh data
Forces a new performance snapshot and synchronizes Booked meetings within the saved date range plus Meetings to review from contacts booked before that period and still in Meeting Set or Meeting Rescheduled status. Save unsaved edits, including a new date range, before using it.
Export to Google Doc
Creates a Google Doc from the current update, shares it through the normal company Google Drive access, and opens it in a new tab. The document includes current metrics, narrative sections, meeting tables, retained Source history text, and uploaded source-document metadata.
Save update
Stores the current narrative, date range and overrides, meeting rows, custom sections, and next meeting time. A qualifying save also prepends a dated prior snapshot to Source history.
Date range
Chooses and persists the automatic metric range: Last 7 Days, which excludes the current day, Last 14 days, Quarter to date, Year to date, Outreach to date when available, or Custom range with From and To dates in Eastern Time.
Metric value
Edits a metric for this update. A changed value becomes a manual override until reset.
reset
Removes one manual metric override and returns that metric to its latest platform value.
Add row
Adds a manual editable row to Booked meetings, Meetings to review, or Potential meetings. Source-backed rows in the first two sections arrive through the live sync.
Remove row
Removes a manual meeting-table row. Source-backed Live rows in Booked meetings and Meetings to review cannot be removed.
Add section
Adds a title and body editor under Custom sections.
Remove custom section
Deletes one custom section from the current update before you save.
Next client meeting
Sets the date and time used for the displayed meeting timing and automatic refresh window.
Open history / Collapse history
Expands or hides Source history. Newer saved archives and uploaded extracted text appear at the top, and changing the selected live date range does not remove them. Open history also shows attached source filenames, upload times, extraction statuses, and Download original links.
Upload source
Attaches a .doc, .docx, .pdf, .txt, .csv, or .xlsx source document, preserves the original with upload metadata, and prepends extracted text to Source history when available. The history remains independent of the selected live date range.
download original
Downloads the original source document attached to the update. The history list also shows its filename, upload date and time, and extraction status.
Live source rows
Source-backed rows synchronized from Platform contacts. Booked meetings shows contacts booked within the selected date range. Meetings to review shows contacts booked before that range who remain in Meeting Set or Meeting Rescheduled status. Source fields are read-only, matching notes are retained, and a Live tag identifies the rows. Meeting owner is also synchronized from the source meeting and shown as a read-only field in Edit update.
Live status
In an authorized staff view, changes the selected source-backed contact status immediately through the Platform contact record from normal read mode or Edit update, whether the row is in Booked meetings or Meetings to review.
Meeting owner
Shows the owner of a source-backed meeting in read-only tables and Google Doc exports. In Edit update it is read-only for Live rows, while manual rows can be edited before saving.
Client sync notes
Internal-only textarea for notes taken during a client sync. It autosaves separately from the main update and is not included in the client-ready view or export. On wide layouts, it sits in a dedicated right-hand rail that stays sticky while the report scrolls; on smaller desktop layouts it remains at the right, and on small screens it returns to normal flow.
Client sync notes save status
Shows Saving, Saved automatically, or Save failed, edit to retry for the internal sync-notes field.
Report complete
Freezes the current client-ready update as a dated report version, adds it to Completed reports and Source history, and avoids duplicating an unchanged version.
Completed reports
Lists newest-first frozen versions. Click a version row to preview the exact saved state or use its Export button for a Google Doc.
Export (completed report)
Creates a Google Doc from the selected frozen report version rather than the current live update.
Section order
In Edit update, shows the reorderable client-ready sections in their saved order. Sections hidden from client view remain in that order and can be shown again.
Drag handle and move arrows
Reorder a client-ready section by dragging its handle or using the up and down arrow buttons.
View only
Marks a client-facing Weekly Meeting Update and hides staff editing, refresh, export, and internal-note controls. Sections marked Hidden from client view are omitted.
Completed reports (client view)
Lets a client open a frozen completed report without the staff-only export control.
Hide from client view / Show in client view
In Edit update, controls whether one section appears in the client read-only report. Save update to apply the setting to the live client view, future completed snapshots, and Google Doc exports. The section remains available internally when hidden.
Hidden from client view badge
In staff read mode, marks a section whose clientVisible setting is off. The section remains visible to staff.

Common questions

Authorized staff can select a Deal and edit its internal report. Clients can open the selected Deal's client-ready report in view-only mode, without staff refresh, editing, export, internal-note, or completed-report export controls.

Potential meetings remains a manual table. Add row still creates a manual row, and matching notes on live rows are retained during a refresh.
The page loads contacts for the selected deal whose meetingSetDate is before the selected date range and whose current status is Meeting Set or Meeting Rescheduled. Contacts already in the current Booked source range are excluded. An in-progress Meeting Rescheduling contact is not included until a confirmed status is set.
Live identifies a source-backed row synchronized from a Platform contact. Booked meetings uses the selected date range, while Meetings to review uses contacts booked before that range that remain Meeting Set or Meeting Rescheduled. The status comes from the contact record, source fields are read-only in Edit update, matching notes are retained, and the row cannot be removed.
Authorized staff can change its Live status from the selector in normal read mode or Edit update, and can edit the row notes and save them with the update. Company, contact, title, dates, size, and source stay synchronized, and live rows in either source section cannot be removed. Client views and completed report snapshots remain read-only.
The next page-open or Refresh data recalculates both source windows. If the contact is still Meeting Set or Meeting Rescheduled, its source row moves from Booked meetings to Meetings to review when its booking date is before the selected range, and its matching notes are retained. If it no longer belongs in either source set, it leaves the tables and its notes are prepended to Source history once. Manual rows stay in the update.
Yes. The sync replaces only source-backed rows in Booked meetings and Meetings to review, preserves matching notes even when a contact moves between those sections, and leaves manual rows untouched. Refresh data also reloads the saved update and saved date range, so save other unsaved narrative, table, note, metric, or range edits first.
When you save changed content and the prior update is at least five days old, or when the next client meeting moves by at least three days. The page prepends a dated plain-text snapshot with the prior metrics and non-empty written sections or tables. It skips the archive when the content is unchanged or the same snapshot was already archived.
Open Source history with Open history. Newer saved snapshots and uploaded extracted text are placed at the top, while earlier history remains below. The history is independent of the selected live date range, and the open section lists attached source filenames, upload times, extraction statuses, and Download original links. In edit mode, the history text is editable before you save.
The original file remains attached to this update with its filename, upload date and time, and extraction status. When extraction succeeds, its text is prepended to Source history, so the newest uploaded material is at the top. Changing the live metric/date range does not remove it. Open history to review the combined text, and use Download original to retrieve the file later.
